What makes Smart Invoicing Smart?

The printing process:

We take your print files, combine them with your forms to print your invoices, statements, past due letters, and other documents. Saves you wear and tear on your computer and printing equipment and the labor cost associated with forms handling.

• We print "Smart". While we will never print two invoices on a sheet, if a single invoice or statement is more than a page long, we will print it on both sides, saving you costs and postage.

• We print "Smart-er". If an invoice or statement is below a dollar amount you set, we won't print it. Even at our cheap rates, it doesn't make much sense to print and mail a $0.12 invoice!

• We print "Smart-est". If the invoice or statement is above the minimum print threshold, but below a second threshold, again one that you set, we will hold the printing of the document until we find another to the same customer that we can combine with it in an envelope. You also specify the maximum amount of time that we can hold a document, and what to do with it when this expires.

The mailing process:

We will accumulate, fold and insert all documents into envelopes, tray them in Postal required sequences, and deliver them to the Postal Service for automation fast delivery. This saves you a lot of labor and, as a result, a lot of cost. Just on postage, you will save 17% moving from single piece first-class rates to automation presort first-class rates.

• We will mail "Smart". While a single envelope contains documents from only one customer, the envelopes are intermixed for all of our customers so you never have a problem meeting US Postal Service minimums for presort discounts. This also means you have a better chance of getting volume 3 digit, 5 digit, AADC, and carrier route discounts.

• We will mail "Smart-er". If you permit, we will pack multiple invoices into an envelope, using logic that takes advantage of both 1 and 2 ounce rates to minimize postage. Even more, if you permit, we will intermix invoices and statements in an envelope to absolutely minimize postage.

• We will mail "Smart-est". If your customers will accept it, we won't print or mail the invoice or statement at all. Instead, we will format the documents in an Adobe Acrobat .pdf file and e-mail or fax it to them.

What else do I get:

We also provide optional services that you may use to enhance your information analysis and document storage. When combined with the printing and mailing services, Smart Invoicing is a service that saves real money and provides real value.

• Monthly statistics subscription. This optional service provides you with a comma delimited file that contains, for each of your customers, statistics on what we did for you during the month. The information provided will include the number of invoice pages printed, the number of invoices, the number of statement pages, and the number of pages of other types of documents processed. It will also include postage charges for each customer. Using this file, you can use Excel or your own software to analyze your customer communications costs.

• Monthly or annual image subscription. This optional service will provide you with a DVD that will contain .pdf images of each document we produced for you. The DVD will also contain an access program that will allow you to search for documents by type, identifying number, product sold, customer, etc. The annual subscription will provide you with one DVD per year, containing that year's activity. The monthly subscription will provide you with monthly replacement DVD's, containing your year to date activity.

• Special services. We can work with you to meet any other mailing needs you may have. While we can't handle all types of mail, we can handle most any type of letter mail sent first class or standard rates. If we can't do the job ourselves, we can work with you to find someone who can do it for the best possible price.
